Job Description
Role Title: Procurement / Cost Administrators Author: DW Brief overview of the role and project: As part of the finance team this role will be responsible for the correct adherence to corporate processes in both the procurement of materials, stock and equipment required by the operations along with the proper allocation of any costs involved in this procurement to a pre-defined structure within the company systems. Will also involve interrogation of cost accruals to determine validity and allocation of client cash receipts to contracts. Date Updated: 1st Feb 2011 Accountabilities Knowledge & key skills Ordering of stock, materials and equipment through McNicholas systems Entry of Goods Received Notes into costing system resulting from these orders Maintaining register of orders and reconciling orders v GRN’s ‘Chasing’ missing GRN’s to ensure all costs accrued for correctly Validation and reconciliation of correctly allocated plant and vehicle costs Ordering, reconciliation, allocation of fuel cards and associated expenditure Allocation of mobile phone expenditure within costing structure Weekly review of allocated costs along with production of reports Assist central finance function in supplier statements as required Provision of cost detail to contract Commercial team for consideration of recharging if applicable Processing of sub-contractor payments within CPA (Siteman) Involved in allocation within systems of payments from client to correct contracts Any other reasonable finance or commercial related activities, tasks or duties as may be required to meet the ongoing or changing needs of the business. Timely resolution of invoice queries in liaison with Central Finance team Regular reviews of workshop charges issued by internal hire company and liaison with same Journal input Recording of Parking fines and recharging where relevant Ordering of Dart tags for relevant individuals Identification of GRNs that are not required and updating schedules for deletion of same Maintaining records of computing equipment within Sites and Office Processing Highway defect charges that have been approved by Streetworks team Essential: Computer literate Microsoft applications Excel and Word. Numerate Previous experience in Procurement, Purchase Ledger or cost management positions Diligent and thorough in review and entry of data onto IT systems. Self motivated with good organisational skills. Excellent written and oral communication skills. Be able to demonstrate a professional approach and work on own initiative Able to adapt to working bespoke IT systems. Desirable Previous experience in a construction environment Use of CPA (Siteman) suite of products Previous experience with bespoke systems. Accounting qualifications (e.g NVQ) Critical Success Factors Reports to: Finance Manager Regarded as: Highly capable and dependable Being attentive to detail Can demonstrate success in: Delivery of high quality administration service
